Who We Are

Founded in 1978, Mingei International Museum collects, preserves, and exhibits “art of the world, art of the people,” including folk art, craft, and design from all eras and cultures. Located in San Diego’s iconic Balboa Park, our highly respected Museum offers stunning exhibitions and diverse educational programs to more than 200,000 visitors each year. The Museum is a nonprofit organization.

Position Summary

Reporting to the Membership Manager, the Membership Coordinator is responsible for a variety of duties to effectively support the Museum’s membership program and its annual contributed income goals as well as supporting the Museum’s Advancement department with email strategy and communication efforts. The Membership Coordinator will regularly interface with donors, members, volunteers, and trustees.

Primary Responsibilities

Membership Promotion and Processing

  • Promote and process new and renewing memberships across all levels, from the $35 Mingei Passport to the $1,650 Director’s Circle level.
  • Accurately enter daily membership sales in internal customer relationship management (CRM) software and prepare weekly membership reports for the Advancement team.
  • Send acknowledgment letters, digital membership cards, and relevant materials for memberships and associated donations within 72 hours of receipt.
  • Promptly respond to inquiries via phone, email, and in person regarding membership benefits, upgrades, and cards.
  • Provide exceptional on-site assistance and customer service to members and support Visitor Experience (VEX) staff in promoting membership sales.
  • Assist VEX staff with membership-related inquiries and help them achieve monthly sales goals by tracking individual and departmental performance.
  • Review and clean up membership forms submitted by the VEX team, ensuring accurate data entry.
  • Uphold and enforce museum policies related to membership.
  • Educate and inform visitors, staff, and volunteers about membership programs.
  • Help the department reach sales goals by helping to strategize with new acquisition promotions and offers.

Renewal Letters & Email Communications

  • Generate content for monthly digital and printed renewal letters.
  • Generate mailing list from internal CRM database and import into workflow management system. Create the necessary renewal segments and collaborate with the Marketing and Design (MAD) team to design and print monthly renewal notices.
  • Collaborate with the Development Coordinator to order necessary supplies for membership mailings and keep an inventory to notice when new supplies are needed.
  • Assist and support Mingei’s volunteer mailing committee with the mailing of renewal letters.
  • Work with Membership Manager to help generate member email communications through Mailchimp.

Advancement, Administration and Event Support

  • Provide administrative and logistical support for Advancement events (Membership, Development, and other special events)
  • Assist in the writing and design of email campaigns for yearly giving initiatives, Director’s Circle Salons, event reminders, and maintain the department’s email communication calendar.
  • Build relationships with donors and members at events and excursions.
  • Provide administrative and technical support (email reminders, zoom set up, etc.) as needed.
  • Assist Development Coordinator with gift and membership processing when needed and maintain data in the Museum’s donor database (Altru), including data entry and clean-up of records.
  • Support regular data cleanup in the Omatic system.
  • Assist Development Coordinator with office-related administrative projects to ensure smooth operations across the organization.
  • Other tasks as assigned

Key Qualifications

  • Minimum one year of nonprofit experience or experience in a related field
  • Excellent communication and interpersonal skills
  • Experience with Blackbaud Altru (or other CRM software), Airtable, and Mailchimp is a plus
  • Proficiency in Word, Excel, Google Suite, and data entry
  • Discretion with donor information
  • Careful attention to detail and strong organizational skills
  • Professional, courteous, and service-oriented communication style
  • Strong oral and written communication skills
  • Evening and weekend hours may be required on occasion
  • Familiarity with video conferencing is a plus
  • Experience in cultivating and stewarding potential and current donors is a plus

Compensation

The position is a full-time, non-exempt position, typically working 37.5 hours per week, Monday - Friday, paid at $25.80 per hour or approximately $50,310 per year. This position works onsite at the museum and is not a work-from-home position.
